Terms & Conditions

1. Introduction

Welcome to Clayton Dental Care. These Terms & Conditions govern your use of our website and the dental services provided by Clayton Dental Care (“the Practice”, “we”, “our” or “us”).

By accessing our website, booking an appointment or receiving treatment from us, you agree to these Terms & Conditions.

3. Appointments

Appointments can be booked by telephone, online or in person.

Whilst we always strive to keep to scheduled appointment times, emergencies and unforeseen circumstances may occasionally cause delays. We appreciate your patience and understanding should this occur.

Please arrive 5–10 minutes before your appointment. New patients may be asked to complete a medical history form before treatment begins.

4. Medical Information

You are responsible for providing accurate and up-to-date information regarding your medical history, medications, allergies and contact details.

Please inform us immediately if there are any changes to your health, medications or personal details, as this information may affect your dental treatment.

5. Cancellation & Missed Appointments

If you need to cancel or rearrange an appointment, we kindly ask that you provide at least 24 hours’ notice.

Private appointments cancelled with insufficient notice or missed without notice may incur a cancellation fee or result in the loss of any deposit paid.

Patients receiving NHS treatment who repeatedly fail to attend appointments without notice may be removed from our NHS patient list in accordance with NHS guidance.

The Practice reserves the right to request deposits before accepting future bookings following repeated missed appointments.

6. Deposits

Certain treatments or longer appointments may require a deposit at the time of booking.

Deposits are deducted from your final treatment cost.

Deposits may be transferred to another appointment where sufficient notice is provided but may be non-refundable if appointments are missed or cancelled without adequate notice.

7. Fees & Payment

Private treatment fees are payable at the completion of each appointment unless an alternative payment arrangement has been agreed.

For treatment plans completed over multiple appointments, staged payments may be required.

Treatment estimates are provided in good faith and are normally valid for 30 days. Additional treatment may result in revised fees if clinically necessary.

We accept major debit and credit cards together with other payment methods available at the Practice.

8. NHS Treatment

NHS dental treatment is provided in accordance with current NHS regulations.

Patients claiming exemption from NHS charges must provide valid evidence where required.

False exemption claims may result in NHS penalty charges for which the patient is responsible.

9. Treatment Plans & Consent

Before treatment begins, your dentist will explain your diagnosis, recommended treatment options, possible alternatives, associated risks, expected benefits and estimated fees where applicable.

Treatment will only proceed once your informed consent has been obtained.

10. Treatment Outcomes

Dentistry is a healthcare service and, whilst we always aim to achieve the highest clinical standards, no treatment can guarantee a specific outcome.

Treatment success depends on many factors, including individual healing, oral hygiene, lifestyle and attendance at recommended review appointments.

11. Emergency Appointments

We endeavour to offer emergency appointments as quickly as possible based on clinical urgency and availability.

Emergency appointments are intended to relieve pain or manage urgent dental problems and may not allow completion of all required treatment during the same visit.

12. Children

Patients under the age of 18 should normally attend with a parent or legal guardian who is able to provide consent where appropriate.

13. Finance

Where finance options are available, they are provided by an independent finance provider.

Finance applications are subject to eligibility, status and lender approval. Clayton Dental Care is not responsible for finance application decisions made by third-party providers.

14. Refunds

Refunds are not generally available for dental treatment that has already been provided.

If you have concerns regarding your treatment, please contact us as soon as possible so we can investigate the matter fairly and discuss appropriate solutions, which may include remedial treatment where clinically appropriate.
